Job Description

We’re hiring a detail-oriented Zoho CRM / Zoho Books Assistant to support our UK moving operations. Your focus will be keeping customer records clean in Zoho CRM and handling quotes, invoices, payment links, and basic finance admin in Zoho Books — so our sales team can focus on closing.

This role is ideal for someone who is organised, accurate, fast, and confident working with CRM/finance workflows.

Key responsibilities

Zoho CRM (Sales Admin)

  • Create/update leads and deals with accurate move details
  • Maintain pipeline stages, tasks, call notes, and follow-up reminders
  • Ensure every enquiry has complete data (addresses, dates, access notes, inventory notes, etc.)
  • Prepare clean handovers between sales and operations

Zoho Books (Quoting & Invoicing)

  • Create and send quotes using the correct templates and line items
  • Convert accepted quotes into invoices and send payment links
  • Apply deposit rules (e.g., 25% deposit / minimum charges where applicable)
  • Track invoice statuses (sent/accepted/paid/overdue) and report exceptions
  • Keep customer billing details accurate (name, address, email, VAT if required)
  • Attach supporting documents and maintain tidy records for each job

Coordination

  • Liaise with sales team and directors for approvals/edge cases
  • Ensure fast turnaround times on quotes/invoices during busy periods
  • Support day-end reporting (quotes sent, invoices created, payments received)

Requirements (must-have)

  • Experience using Zoho CRM and/or Zoho Books
  • Excellent English (written) — professional emails and clear client-facing messages
  • Strong attention to detail (zero tolerance for wrong addresses, dates, amounts)
  • Comfortable with repetitive admin tasks while maintaining high accuracy
  • Reliable and able to work on-site in Lahore with UK-hours alignment

Nice-to-have

  • Experience in service businesses (logistics, removals, maintenance, cleaning, etc.)
  • Familiarity with quoting rules, deposits, and invoice tracking
  • Strong Excel/Google Sheets skills for reporting

What success looks like

  • Quotes/invoices sent quickly with near-zero errors
  • CRM kept clean and up-to-date (no missing details, no dead leads)
  • Faster sales cycle due to smooth admin support
  • Accurate reporting and fewer customer complaints caused by admin mistakes

Job Type: Full-time

Pay: Rs35,00.00 – Rs45,00.00 per month
