Aiming Change for Tomorrow (ACT) International is a humanitarian and development organization dedicated to improving the lives of vulnerable and marginalized communities through sustainable development, emergency response, and social protection programmes. ACT works closely with institutional donors, government authorities, and corporate partners to deliver transparent, accountable, and high-impact interventions across Pakistan.

Position Purpose

The Grant Reporting Officer is responsible for ensuring timely, accurate, and donor-compliant financial and narrative reporting for all grants and projects implemented by ACT International. The position supports effective grants management by coordinating with programme, finance, and operations teams to ensure compliance with donor requirements, reporting standards, and internal controls. The role contributes to strengthening ACT’s accountability, transparency, and donor confidence.

Key Responsibilities

1. Grant Reporting & Compliance

  • Prepare and submit timely financial and narrative donor reports in line with grant agreements and donor requirements.
  • Ensure accuracy, completeness, and consistency of reported data in coordination with programme and finance teams.
  • Maintain a reporting calendar and track reporting deadlines for all active grants.

2. Coordination with Programme & Finance Teams

  • Liaise with programme teams to collect narrative inputs, indicators, and progress updates for donor reports.
  • Coordinate with finance teams to obtain verified financial data and expenditure reports.
  • Ensure alignment between programme outputs, financial expenditures, and donor-approved budgets.

3. Donor Requirements & Documentation

  • Review grant agreements and donor guidelines to ensure full compliance with reporting formats and conditions.
  • Maintain organized grant files, including contracts, budgets, reports, and supporting documentation.
  • Support donor audits, verifications, and compliance checks as required.

4. Data Quality & Monitoring Support

  • Support data verification and quality checks prior to submission of reports.
  • Assist in tracking key performance indicators (KPIs) and results frameworks as per donor agreements.
  • Flag reporting risks, delays, or compliance issues to management in a timely manner.

5. Grants Tracking & Information Management

  • Maintain up-to-date grant tracking tools, reporting matrices, and documentation systems.
  • Support internal reviews of grant performance, burn rates, and reporting status.
  • Contribute to institutional learning by documenting reporting lessons learned and best practices.

6. Coordination & Communication

  • Act as a focal point for grant reporting-related communication with donors, as delegated by management.
  • Support proposal development by providing inputs on reporting frameworks and compliance requirements.

Required Qualifications & Experience

  • Bachelor’s or Master’s degree in Finance, Accounting, Development Studies, Project Management, or a related field.
  • Minimum 3–5 years of relevant experience in grant reporting, donor compliance, or grants management, preferably with INGOs/NGOs.
  • Experience working with institutional donors (e.g., UN agencies, bilateral donors, foundations).
  • Strong understanding of donor reporting requirements, compliance standards, and documentation.
  • Proficiency in MS Excel and reporting tools.
  • Strong coordination, communication, and organizational skills.
