Job Description
Role Overview
We are seeking a highly professional, proactive, and organized Executive Personal Secretary to support the CEO in all personal and business-related administrative matters. This role is pivotal to ensuring smooth operations, efficient scheduling, and effective communication on behalf of the CEO.
Key Responsibilities
Email & Correspondence Management
- Monitor, prioritize, and respond to the CEO’s personal and professional emails.
- Draft, proofread, and format emails, letters, and documents.
- Ensure timely follow-up on pending communications.
Calendar & Schedule Coordination
- Manage the CEO’s calendar, including meetings, appointments, and travel.
- Coordinate with internal and external stakeholders to plan and reschedule as necessary.
- Send meeting reminders, prepare agendas, and follow up on action items.
Travel & Logistics
- Arrange domestic and international travel, including flights, accommodation, visas, and transportation.
- Prepare detailed travel itineraries and expense reports.
Administrative Support
- Maintain both electronic and hard-copy filing systems with high confidentiality.
- Conduct research, compile information, and prepare reports or presentations.
- Handle personal tasks (e.g., personal bookings, appointments) as needed.
Communication & Liaison
- Act as primary point of contact between the CEO and internal teams, clients, and external partners.
- Professionally receive guests and manage confidential information with discretion.
Miscellaneous
- Assist in expense tracking, reimbursements, and general administrative tasks.
- Undertake special projects as assigned by the CEO.
Qualifications & Skills
- Education: Bachelor’s degree or equivalent; ideally in Business Administration, Communications, or a related field.
- Experience: 2–5 years as an Executive or Personal Assistant (preferable experience supporting C-level executives).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar and task management tools.
Soft Skills:
- Exceptionally organized, detail-oriented, and able to prioritize multiple tasks.
- Excellent written and verbal communication in English (and Urdu, if applicable).
- Highly trustworthy, professional, and committed to confidentiality.
- Flexible and adaptable, capable of handling personal and business needs with ease.
