Job Description
Location: Karachi (CLS, Bosicar Road, Hawksbay)
Job Description:
- Manage front desk operations, including greeting visitors, answering inquiries, and maintaining a professional reception area.
- Handle gate pass issuance, tracking, and verification for staff, visitors, and assets.
- Oversee courier incoming/outgoing processes, including logging, distribution, and record-keeping.
- Coordinate visitor management, including registration, badging, and escorting as needed.
- Provide support in building/facility management, such as coordinating maintenance requests and vendor interactions.
- Assist in support staff management, including scheduling and performance tracking.
- Support security management by monitoring access, reporting incidents, and liaising with security personnel.
- Aid in vehicle maintenance scheduling, tracking repairs, and ensuring compliance with company policies.
- Manage grocery and stationery procurement, inventory, and distribution.
- Handle petty cash and daily expense tracking, reconciliation, and reporting.
- Support the Admin Officer in event management, including setup, logistics, and coordination.
- Create and manage rosters for drivers and guards to ensure adequate coverage.
- Assist in processing leave requests and expense claim forms.
- Support preparation and submission of daily, weekly, and monthly reports.
- Provide administrative support for other PoPs such as AP, TP, BA, 39C, and ET.
- Coordinate pick-and-drop services for staff as required.
- Manage PABX system and extension lines, including troubleshooting and user support.
Experience and Education:
- Minimum Intermediate (FA/F.Sc or equivalent).
- Good communication and interpersonal skills.
- Relevant experience of 1-2 years is a plus.
- Proficiency in MS Office (Excel for reports/rosters, Word for documentation) and basic PABX systems.
- Knowledge of petty cash handling, inventory management, and basic facility/security protocols.
- Reliable, detail-oriented, and able to maintain confidentiality.
